At a simple level you may only need one folder, perhaps called Jobs, and all jobs are logged within it.

Larger organisations may require multiple job folders, in which case you can direct jobs into the right folder by associating job folders with either Asset categories or Job types.

Job folders should ideally be in the root of the filing system because when you create new jobs they will be stored in a Year / Month / Day sub-folder which is created at the time of logging the job.

  To add a job folder
  Click the Add button
  Search for a Normal folder
(The folder must already exist. Duplicates are not allowed)

    To delete a job folder
Select the folder you want to exclude
  Click the Delete button

Note The folder is not deleted from the database, only removed from this list.

  Setting the default job folder
When you create a new job and have multiple job folders set, but none of the folders are specifically associated with the Asset category or Job type, then the job folder at the top of the list is selected as the default.

Click the Make this the default button

Top   Next job number
Shows the next job number that will be created in the selected Job folder.

If you alter this value, make sure you only edit it to a higher value than it already is otherwise you will create duplicate job numbers.

When you change the Next job number it is changed globally for all users.

Top   Job number prefix
Allows you to set up to a 5 letter prefix for the job numbers. You may wish to identify jobs of a certain type by prefixing them with a code, and the prefix accomodates this.

For example:
    Prefix
EL
MEC
REP
Meaning
Electrical job
Mechanical job
Repair job

When you change the Job number prefix it is changed globally for all users.

Top   Association
This lists all current Asset categories and Job types. You can associate any item in the list with the selected Job folder.
